Procurement lane

# Supplier paperwork, from yes to the first invoice.

Supplier facts kept once, every buyer's forms filled from them, and a warning before a lapsed certificate holds up payment.

01 · In practice

## Know what stands between you and the first invoice.

Girard reads each buyer's onboarding packet into a requirement list your owner confirms: have, expiring, missing or needs signature.

02 · What Girard handles

## Every supplier form and certificate.

- **Supplier facts, kept once.** Legal name, tax ID, signatory, bank details, insurance and certificates, each with evidence, expiry and owner.
- **Sensitive details protected.** Tax ID and bank details encrypted and masked. Changing bank details takes two people.
- **Attestations to the named signer.** Code of conduct, anti-bribery, sanctions, modern slavery, conflict minerals and data protection.
- **Procurement terms.** Network fees, invoice format and terms, insurance minimums, payment method and the supplier code.
- **The buyer's forms, filled in.** Tax form, bank form and supplier questionnaire, from your facts.
- **"Ready to invoice".** Shown only when every requirement is met.

03 · Where Girard goes further

## Beyond the forms.

- **An expiry calendar per customer.** An agent drafts the chase 60, 30 and 10 days before a certificate expires. A person sends it, unless you switch that on.
- **Certificates checked against the contract.** Each insurance certificate compared with that customer's minimum.
- **Portal registration, filled in.** Ariba, Coupa, Jaggaer and Oracle.
- **Yearly re-registration.** Federal registration, diversity certificates and sustainability ratings, from the same facts.
- **One fact, three lanes.** A signed-off fact serves security, legal and procurement at once.
- **Invoice to payment.** Watched through Monto or Billtrust, so you see when a signed deal is actually paid.
